01 / Scope
Who this policy covers
This Privacy Policy explains how Enactra Systems (“Enactra”, “we”, “us” or “our”) handles personal information through enactrasystems.com and the workflow-inquiry forms available on the site.
It applies to website visitors and people who contact us about our services. A separate agreement or privacy notice may apply if you later become a client, supplier, contractor or team member.
02 / Information we collect
Information you choose to provide
When you submit a workflow inquiry, we may collect your name, work email, company, job role, current systems, preferred timing, description of the workflow or problem, desired outcome and your consent to our use of those details.
We also retain operational record details such as an inquiry reference, submission and update times, source and review status. Please do not submit passwords, credentials, personal records, regulated data or confidential business information that is not needed for an initial discussion.
Technical information
Our hosting and security infrastructure may process limited technical information—such as IP address, browser or device type, request time, requested page and diagnostic or security events—to deliver, protect and maintain the site.
03 / How we use information
Purpose-bound processing
- Review, evaluate and respond to your inquiry.
- Determine whether a proposed workflow may be suitable for an Enactra engagement.
- Maintain an accurate record of discussions and follow-up.
- Prevent abuse, duplicate submissions, fraud and security incidents.
- Operate, troubleshoot and improve the reliability of the website.
- Comply with law and establish, exercise or defend legal claims.
Website inquiries are not used to make solely automated decisions that produce legal or similarly significant effects about you.
04 / Legal bases
Why we may process information
Where applicable law requires a legal basis, we process information to take steps you request before a possible contract, for our legitimate interests in responding to business inquiries and operating a secure website, to comply with legal obligations, and on the basis of consent where we specifically request it.
You may withdraw consent at any time. Withdrawal does not affect processing already carried out lawfully, and another legal basis may still permit us to retain limited information.
06 / Retention
Kept only while needed
We keep inquiry information for as long as reasonably necessary to review and respond, maintain business records, comply with legal obligations, resolve disputes and protect our rights. The exact period depends on whether a discussion progresses, the nature of the information and applicable legal requirements. When information is no longer needed, we delete or anonymise it where reasonably practicable.
07 / Security
Reasonable safeguards
We use reasonable administrative, technical and organisational measures designed to protect personal information from unauthorised access, loss, misuse, alteration or disclosure. No internet transmission or storage system can be guaranteed completely secure, so please limit your initial submission to the information necessary for us to evaluate your inquiry.
08 / International transfers
Infrastructure may cross borders
Our providers and infrastructure may process information in countries other than the one where you live. Where required, we use recognised safeguards for international transfers, such as contractual protections, and apply measures appropriate to the nature of the information.
09 / Your rights
Control over your information
Depending on where you live and subject to legal exceptions, you may have the right to request access to, correction of or deletion of your personal information; restrict or object to processing; receive a portable copy; or withdraw consent. You may also have the right to complain to your local data-protection authority.
We may ask for information needed to verify your identity before completing a request. We will not discriminate against you for exercising an applicable privacy right.
11 / Children and policy changes
A business-to-business website
This site is intended for business users and is not directed to children under 16. We do not knowingly collect personal information from children through the workflow form.
We may update this Policy as our site, services or legal obligations change. We will publish the revised version here and update the effective date. Material changes will be highlighted where reasonably appropriate.
12 / Contact us
